Steps Configuration Guide

Overview

Steps are the building blocks of every Journey. Each Step defines a specific action or interaction that happens as the Candidate moves through a Path.

What is a Step? #

A Step is a single action point in a Journey. Depending on the Step type, it may:

  • Display information or instructions to the Candidate
  • Collect data or responses
  • Send a message (email or SMS)
  • Explore the Candidate's motivations, timing, or background
  • Trigger an external action or transaction
  • Pause or control the flow of the Journey

Each Step is configured individually in the Agent Editor.

How to Choose the Right Step #

Step Categories #

Steps are grouped into five categories, matching the platform interface:

ℹ️ Information #

Steps that display information or ask the Candidate to confirm existing data.

  • Text & Confirmation — Displays information or instructions and optionally requires the Candidate to acknowledge before continuing.
  • Contact Details Confirmation — Lets the Candidate review and confirm their contact details to ensure future email and SMS communication is correct.

📝 Candidate Input #

Steps that collect structured data, files, or responses from the Candidate.

  • Form — Displays a configurable form to collect structured information from the Candidate.
  • Options — Presents one or more choices and automatically routes the Candidate to the most appropriate next Step based on their selection.
  • Candidate Video Response — Asks the Candidate to record a short video response, providing richer insight than text alone.
  • Request CV / LinkedIn — Allows the Candidate to upload a CV and/or provide a LinkedIn profile link.
  • Document Exchange — Allows Candidates to upload required documents and download files provided by the Brand.

📨 Communication #

Steps that send messages or media to the Candidate.

  • Send SMS — Automatically sends a predefined SMS message to the Candidate at this point in the Journey.
  • Send Email — Automatically sends a predefined email to the Candidate and records it against their Journey.
  • Brand Video — Displays a Brand-controlled video that can be required viewing before proceeding.

🔍 Exploration #

Steps that explore the Candidate's intent, readiness, and background to support evaluation.

  • Explore Motivations — Asks the Candidate why they are interested or applying, helping you understand intent and fit.
  • Explore Timing — Captures when the Candidate is ready or available to move forward.
  • Explore Background — Collects high-level background information without requiring a full CV.
  • Distance — Collects location information to determine distance from key locations.

⚙️ Workflow Control #

Steps that control the flow, timing, and actions within the Journey.

  • Require Sign-In — Requires the Candidate to sign in or verify their identity before continuing.
  • Pause & Review — Pauses the Candidate's Journey until Brand staff review progress and manually resume it.
  • Waiting Period — Applies a timed delay before the Candidate can continue.
  • Invoice — Generates structured invoice PDFs and stores them on the Candidate Journey.
  • Schedule Meeting — Allows the Candidate to book a meeting directly within the Journey.
  • Sign Document — Presents a document for digital signing and continues the Journey once completed.
  • Webhook — Sends Candidate and Journey data to external systems in real time, with retries and full audit logging.

How Steps Work in a Journey #

  1. You add Steps to your Path in the Agent Editor.
  2. You arrange them in the order you want.
  3. Each Step is configured individually.
  4. When a Candidate enters the Journey, the Agent presents Steps one at a time.
  5. As the Candidate completes each Step, the Journey moves forward automatically.

Tips #

  • Keep your Journey focused — avoid adding too many Steps
  • Use Milestones to group Steps into stages
  • Test your full flow before going live
  • Use Merge Fields to personalise Step content
